In the case of audio material in MP3, WAV, WMV format; in the case of video material in MP4 , and in the case of digital material for capture in JPG or PDF.

It is the amount of minutes contained in an audio or video file from beginning to end. If the client wants some sections to be o mitted in the transcription process, he must provide us with a list containing the exact portions that will not be transcribed

Each client is assigned a non transferable code that will be used to manage their file. This code is written in the Service Orde r and must be provided by the customer each time he requests a new service.

It is the document we issue at the time of accepting a material to be processed and contains the client’s data such as your Client Code, name, contact email, Service Ticket number, date of issue, requested service, name of the file to be processed, its duration, th e cost of the service and approximate delivery date.

From the written confirmation of the Service Ticket by the customer. Customers should keep in mind that in the case of a material contracted for urgent delivery, the processing of the material begins only until the corresponding payment has been credited, even if this entails a modification on the approximate date of delivery.

The one that does not contain background noise, static, interruptions, which has a good reproduction volume and in which the voices of the participants are heard loud and clear.

We recommend:
•Do a sound test at the place chosen for the interview.
•Make the recordings in an auspicious environment, a quiet room with soft furniture.
•Restaurants or coffee shops are not recommended.
•Always avoid recording in places with fans or air conditioning.
•Place the recorder near the interviewee or use a 2 to 1 jack adapter with two microphones.
•If a cell phone is used for recording, put it in airplane mode and not in vibrator mode.
•If a recorder is used, do not place the cell phone close to avoid induction of electronic noise.
•Once the recording device has been placed in an appropriate place, do not handle it until the recording is finished.
•Avoid hitting the surface on which the recording device is located
•If it detects that something may not have been recorded, repeat it out loud.
•Ask the interviewee to speak loudly and clearly.

Due to the characteristics of the audio, information may be lost; since the noise contained in the audio does not disappear when we charge our customers more, if a surcharge is applied it does not imply that we will listen better, the surcharge is applied for the extr a t ime that we will have to devote to the processing of poor quality material .

Listening to a conversation and capturing the general idea is different from understanding word by word so that it can be transcribed word by word, that is something the client must keep in mind at all times.

No. Upon receiving the material, our team analyzes whether it meets the minimum conditions required to be processed, if so, we issue the Service Order, otherwise the client will be informed of the impossibility to process certain materials or under what Conditio ns could be processed and what could be the result.

For ordinary delivery, when maximum 5 hours of audio are sent; for urgent delivery, when a maximum of two hours of audio are sent. For the transcription of digital material, the delivery period will depend on the workload existing at the time of requesting the service.

An interview is considered a dyadic conversation (two people participate) or up to three people. It is considered a group conver ation when four people or more are involved.

The more people involved in a conversation, the farther away they will be from the recording device (unless each one has a micro phone and speaks orderly in turns without interrupting each other or overlaping their voices) so there will inevitably be voices that will be heard in a very low volume and there will be ambient noise that will make audio processing more difficult and therefore will take longer, hen ce the cost is higher
than the transcript of an interview. -
No. In the transcriptions of group conversations the voices are differentiated with hyphens and not names; each voice change corresponds to the use of a new hyphen. You can review an example of a transcript of this nature in the OUR WORK section.

In a natural transcription, grammatical errors are corrected, interventions outside the main conversation are eliminated, hackne yed phrases and false beginnings are eliminated, and the necessary editions are made to provide our clients with an easy to read document. A lit eral transcript contains what is said in the audiovisual material without any editing. In our literal transcriptions we do not use the Val. Es . Co. system, Corpus ELE conventions, Jefferson’s or any other.

The client should consult with his T-Vox executive if it is possible to make adjustments to the general format in which we deliver the material at the time of requesting the service . Once the processing of the material has begun or finished, it is impossible to make edits to the final document.

Once the material is finished processing Proof of the Finished Work is sent to proceed with the payment. Once the payment is credited, in banks or via PayPal, the material is delivered in docx format.

It consists of the complete transcript in non editable format. It is delivered in PDF / image to let the customer know that the material is ready and can proceed to payment if that’s the chosen payment method.

Advance payment, advance payment of 50% and 50% against Proof of Work Completed delivery or full payment against Proof of Work Completed delivery. The services requested for urgent delivery must be paid in full in advance.

Other transcription companies charge for a fraction of the time rounding up to half an hour, one hour, two hours, etc., in T-Vox we feel that’s an abuse, we charge for the real duration of your audio, if the material lasts 43 minutes with 18 seconds, that’s what we charge , n ot even second more.

Once the payment is credited, the corresponding legal invoice is prepared and sent. Your T-Vox executive will request your tax information when sending the Service Ticket.
